How to Invoice a Client as a Freelancer

  1. You and your client

Add your name or studio, address and logo, then the client’s company name and billing contact. Both are saved for next time.

  2. The work

List each item as a line: a project fee, a number of hours at your rate, or a monthly retainer. Add expenses you paid on the client’s behalf as separate lines so they are easy to see.

  3. Terms and delivery

Set the due date, add your bank or payment details, then download a PDF, save an Excel copy, or send it by email or WhatsApp.

What a Freelance Invoice Should Contain

Clients pay faster when the invoice answers every question before they ask it. That means your name and contact details, the client’s details, a unique invoice number, the date, a due date, a clear description of the work, the amount, and how to pay you. Anything missing is a reason for the invoice to sit in someone’s inbox.

Describe the work in the client’s own language. “Website redesign: homepage and three inner pages, delivered 12 March” is useful to an accounts team that never saw the project. “Design work” is not. If a purchase order number was given, put it on the invoice too, because many companies refuse to pay without one.

Hourly, Fixed Fee or Retainer: How to Show Each

The same invoice layout handles all three. What changes is how you fill the lines, and how much detail the client needs to see.

Filling in the lines by pricing model
ModelQuantityUnit priceGood to add
HourlyHours workedYour hourly rateA short note of what the hours covered
Fixed fee1The agreed project priceThe deliverable and the date
Milestone1 per milestoneThat milestone’s shareWhich milestone this invoice covers
Retainer1 per monthThe monthly feeThe month and what the retainer includes

For a large project, invoice in stages instead of at the end. A deposit before you start protects you from a client who disappears, and the editor has a deposit field for exactly that.

Payment Terms That Freelancers Can Actually Enforce

Put the due date on the invoice and say it in words. “Due on 15 April” beats “net 30” for a client who does not know the term. If you charge a late fee, state the amount or the rate in the notes, and make sure you agreed it before the work began. A fee that appears for the first time on an overdue invoice is hard to collect.

Give the client easy ways to pay. A bank transfer detail, a payment link, or both. Each extra step between reading the invoice and paying it costs you days. Send the invoice the day the work is accepted, not at the end of the month, and follow up politely a few days before the due date.

Taxes, Records and Your First Invoices

Whether you add tax depends on where you live and whether you are registered. The generator lets you add a tax line and set its rate, and it calculates the totals for you. It does not decide whether you owe the tax, so check your local rules or ask an accountant if you are unsure.

Number your invoices in order and keep every one. Most freelancers use a simple series such as INV-2026-0001. When tax time comes, an ordered folder of PDFs is the difference between an hour of work and a weekend. Export a JSON backup from the editor menu now and then, since invoices are stored only in this browser.

If a client first wants a price for the work, send a quotation and convert it to an invoice once they agree, so you do not retype the lines.

What This Tool Does Not Do

This is an invoice maker, not a time tracker or an online payment service. It does not record your hours, chase late payers, take card payments or file taxes. You enter the figures and send the invoice yourself.

Freelance Invoice Generator FAQ

Is this freelance invoice generator free?

Yes. You can make as many invoices as you like with no signup, no limit and no watermark. The PDF shows only your details and the template you pick.

What should a freelance invoice include?

Your contact details, the client’s details, a unique invoice number, the issue date, a due date, a clear description of the work, the amount, and how to pay you. A purchase order number helps when the client asks for one.

How do I invoice for hours worked?

Add a line, enter the hours as the quantity and your rate as the unit price. Put a short note about what the hours covered, so the client does not need to ask.

Can I ask for a deposit before I start?

Yes. The editor has a deposit option for a fixed amount or a percentage. Showing it on the invoice makes the balance due clear to the client.

How soon after finishing should I send the invoice?

As soon as the work is accepted. Invoices sent promptly tend to be paid promptly, and a short, clear due date helps the client plan the payment.

Do freelancers need to charge tax on invoices?

It depends on your country, your income and whether you are registered. The generator can add a tax line at the rate you set. Ask your accountant or tax office what applies to you.

Can I add my logo and bank details?

Yes. Upload a logo and enter your payment instructions once; they are remembered in this browser and appear on every new invoice you make here.

Where are my invoices stored?

Only in your own browser, never on a server. Clearing site data removes them, so download the PDF or export a JSON backup before you do.
