How to Make a Credit Note in 3 Steps

  1. Customer and original invoice

Add your business and the customer once, then enter the number of the invoice you are correcting in the Original invoice field so the two documents can be matched later.

  2. What is being credited, and why

Type each credited line with its quantity and price, or enter a negative quantity for a line that should come off the bill. Write the reason in plain words, such as damaged goods or a billing mistake.

  3. Design and send

Choose a template and colour, then create a PDF or an Excel sheet, print it, or share it by email or WhatsApp. The next note gets the next number in the CN series.

What a Credit Note Is, and When You Issue One

A credit note is a document from the seller to the buyer that reduces what the buyer owes, or confirms an amount the seller now owes them. It is the usual way to fix an invoice after it has gone out, because the original is left alone and the correction sits beside it with its own number and date.

The common triggers are simple. Goods came back, an item arrived damaged, you charged the wrong price, you billed for a quantity that was never delivered, or you agreed a discount after the invoice was sent. In each case the credit note tells the customer, and your own accounts, exactly how much to take off and which invoice it relates to.

A credit note is not a refund by itself. It records the amount. What happens to the money afterwards is a separate decision, covered further down.

What This Credit Note Template Includes

  • A credit note number Numbered in its own series, such as CN-2026-0001, so credit notes never mix with invoice numbers.
  • Original invoice reference A labelled field for the invoice being corrected, which is the first thing an accountant looks for.
  • Reason for credit A free-text box printed on the document, so the customer reads why the amount is coming off.
  • Credited lines Description, quantity and price for each line. Negative quantities are allowed, and amounts print as credits rather than charges.
  • Taxes and totals Taxes are worked out on the credited amount, so the tax you reverse matches the tax you originally charged.
  • Your details and sign-off Business name, address and logo, with an optional signature or stamp.

Always quote the original invoice number. A credit note without it is hard to match, and it is the detail tax offices and auditors ask for first.

Turn an Invoice Into a Credit Note

If the invoice was made in the free invoice generator, you can start from it instead of retyping. Open the invoice in the editor, choose Convert to and pick Credit Note. The customer and the lines carry across, and you then delete the lines that should stay billed and keep the ones being credited.

Full credit or partial credit
SituationWhat to keep on the credit note
Whole order cancelledEvery line, so the credit equals the invoice total
One item returnedOnly that line, at the quantity returned
Price was wrongThe line, with the difference as the credited amount
Discount agreed afterwardsA single line named for the discount

The original invoice stays as it was. The credit note is a second document, so the history is clear: what you billed, then what you reversed and why.

Credit Note vs Refund vs a New Invoice

These three get confused, and the difference is worth a minute. A credit note records a reduction. A refund is money going back to the customer. A corrected invoice replaces the original entirely. Which one you use depends on whether the customer has paid and what your accounting rules allow.

Which document fits which case
CaseUsual route
Invoice sent, not yet paidIssue a credit note, and the customer pays the smaller balance
Invoice already paidIssue a credit note, then refund the money or keep it as credit for the next order
Mistake caught before it was sentFix the invoice itself and send the corrected one
Customer will buy again soonLeave the credit on their account and apply it to the next invoice

Rules differ between countries and between tax regimes. In some places a corrected tax invoice is not allowed once it has been issued and a credit note is required instead. Check what applies to you, or ask your accountant, before you pick a route.

Writing a Credit Note That Gets Accepted

Keep it short, specific and tied to one invoice. A reason like “Returned: 2 units, damaged in transit” settles a query before it starts, where “adjustment” invites a phone call.

Send it the same day you agree the correction. Credit notes that arrive weeks later tend to be disputed, because the customer has already paid the full invoice and booked it. If a payment is already in, say plainly in the notes whether you will refund it or hold it as credit.

Number them in order and keep a copy with the invoice it relates to. When both documents sit together, an audit or a customer question takes minutes instead of an afternoon.

What This Tool Does Not Do

This is a document maker, not an accounting system. It does not post entries to your books, send money back, or file anything with a tax authority. Credit notes are saved only in this browser, so download the files or export a JSON backup from the editor menu before clearing site data.

Credit Note Generator FAQ

Is this credit note generator free?

Yes. There is no signup, no cap on how many credit notes you make and no watermark. The PDF shows only your business details and the template you choose.

What is the difference between a credit note and an invoice?

An invoice asks the customer to pay. A credit note does the opposite: it reduces or cancels an amount that was already billed. It carries its own number and refers back to the invoice it corrects.

Can I make a credit note for only part of an invoice?

Yes. List only the lines you are crediting, at the quantity or amount being reversed. A partial credit leaves the rest of the original invoice standing.

Do I need a reason on a credit note?

It is good practice. The Reason for credit box prints on the document, so the customer and your own bookkeeper can see why the amount was reduced without asking.

Can a credit note be turned into a refund?

The credit note records the amount owed to the customer. You can then pay it back or keep it as credit toward a later order. The tool does not move money; that part happens in your bank or payment system.

Should a credit note have its own number?

Yes. Give it a number in a separate series, such as CN-0001, and quote the original invoice number on it. That keeps both documents easy to match later.

Does tax show on a credit note?

Yes, when the original invoice charged tax. Tax is calculated on the credited amount, so the tax you reverse corresponds to the tax you charged. Your local rules decide how it is reported.

Where are my credit notes stored?

In your own browser on this device, and nothing is uploaded to a server. Clearing site data removes them, so save the PDF or a JSON backup first.
